Global Candidate Privacy Notice
This page provides additional details on UST’s privacy practices associated with the submission and processing of personal information related to job applicants ("candidates") including through the “Careers” section of UST's corporate website(“ust.com”) and other recruitment channels. This Global Candidate Privacy Notice (this "Notice") is a supplement to theUST’s Privacy Notice.
Resumes submitted to UST for review shall only include information relevant to job qualifications and employment history including prior employment, relevant positions and dates, significant accomplishments, education, degrees, or certifications obtained, dates and issuing institutions and other relevant awards or achievements or any other information which intentionally shared with, or which is part of your resume.
Information We Collect
Personal Information
During the recruitment process, we may collect various types of personal information about you, including but not limited to your full name, contact details like your personal mobile number and your email address, date of birth, your current compensation and excepted compensation, current city, gender, national identifier details, veteran status, your audio and video data which you attend for interviews work history, education, skills, and qualifications.
Sensitive or Special Category Data
We may also collect sensitive personal information, ethnicity such as health-related information, if required by law or necessary for the role you are applying for. Also, we will only collect the personal information in accordance with the applicable laws.
Publicly Available Sources
During the hiring process we may obtain information about you from publicly available sources or from third parties including references, background check suppliers, and the like. We take steps to confirm that information we receive from these third parties has been collected with your consent or that these parties are otherwise legally permitted to disclose your personal information to us.
Pre-employment Data Collection
After accepting the offer letter from us, as part of the pre-employment process we may be collecting additional information including but not limited to national identifiers, address details including your temporary and permanent address, contact details, emergency contact details, marital status and family details, previous employment and educational details as required and as applicable by the law.
In some of the cases based on the requirement with your explicit consent we or our vendors who are appointed by us may reach out to you to collect additional information including but not limited to your national identifier documents, address proofs, educational certificates, your marksheets, your payslips, compensation letters, experience certificates, resignation letter etc. for the purpose of performing background verification. This may also include contacting your suggested referrals on getting status of your employment.
Site Usage and Traffic Data
We will also collect information related to you including but not limited to address, the date and time you accessed or left the Site, pages you viewed, traffic data, IP address, weblogs. Some parts of our Site use cookies and other technologies to collect this information about your general internet usage.
Sources from which we collect the information from
We will collect your personal information using any of the below mentioned sources.
· Information which directly shared by you on our career portals or directly shared with our recruitment teams or through our employee referral programs or through.
· Information which made available on job searching portals or platforms.
·Information which we get from recruitment vendors who have a legal basis to share the data with us.
·Information which we may collect as part of recruitment drives at colleges or universities.
What is the legal basis of processing your information
·Normally in most of the cases we use your consent as the legal basis of processing your information.
·However, in few we may use legitimate interests as a legal basis to for example identify or to prevent any fraudulent activity from happening or will process data based on legal obligations if there any requirement to share data with any legal authorities.
How We Use Your Information
UST will process candidate personal information for recruitment and hiring purposes. Once a candidate is hired by UST, the employee’s personal information for the duration of employment is covered by UST’s Employee Privacy Notice. Also, we do not sell your personal information to third parties.
We use the collected personal information for the purposes includes:
a)communicating with you about your application and the recruitment process,
b)internally evaluating your qualifications and skills,
c)preparing for interview or screening discussions (including arranging travel where applicable or reimbursing candidates for expense)
d)entail background checks and fraud verifications for certain roles which will be conduct with additional notice and in accordance with applicable laws
e)to comply with legal and regulatory requirement
f)We or any third parties appointed by UST may use your contact information to connect with you to perform any candidate experience surveys or to get feedback about the interview process.
g)We may also use your communication information to ship any packages to you which are part of the pre-employment process.
h)We may also use your information provided to identify any other relevant job opportunities.
i)After accepting the offer, we will be using your data as part employment onboarding process.
Disclosure of Your Information
We may disclose your personal information to different parties in the following list:
a)to our employees
b)agents, or service providers, our affiliates companies, if required to our clients who need access to your information to perform their duties.
c)to regulatory authorities or law enforcement agencies if required by law
d)to third-party providers of recruitment-related services, such as background checks or for performing any technical assessments.
e)To shipping vendors to send any materials as part of the pre-employment process or onboarding process.
f)We may your personal information to our vendors to perform background verification services.
Security of Your Information
We take appropriate technical and organizational measures by following ISO 27001 standard controls measures to protect your personal information against unauthorized or unlawful processing and against accidental loss, destruction, or damage.
Retention of Your Information
We will retain your personal information to fulfil the purposes for which it was collected as long as necessary, including any legal or regulatory requirements.
Your Choice and Rights
You have rights to request access, or deletion of your personal information, as well as right to restrict or object to its processing. You also have the right to receive a copy of your personal information in a structured, commonly used, and machine-readable format. In addition, if you wish to update or otherwise make changes to your resume, simply resubmit a new resume.

The data subject rights you may have
These are not complete list of rights; rights may vary according to your applicable law. Also, some of these rights are not absolute rights and can only be exercised based on specific situations.
Right to access:You have the right to access your information that we process about you.
Right to erasure: You can access this right to erasure or delete your data that UST process about you, this right can be exercised if UST collects your data based on your consent where you want to withdraw your consent and there is no other valid legal basis of processing the data.
Right to rectification: You have the correct your inaccurate or incomplete personal data about you.
Right to object: You have the right to object processing personal data about you if any case your data is used for marketing purposes, if you feel the data processed on the basis legitimate interests is not valid or overriding your rights, performing a task in the interest of public.
Right to restrict processing: You have the right to restrict processing if you feel accuracy of your data is not correct, or if you feel the processing is unlawful, for a legal related activities even if we don’t require processing your data, or in a case if you want us to evaluate our processing of your data based on our or our third parties’ legitimate interests.

APPENDIX FOR CANDIDATES IN THE EEA and UK
If you are a candidate in the EEA or UK region applying for a position within UST, UST will be the controller of your data for the purposes of your application, administration, resource management, etc. Local hiring legal entities are data controllers for local recruitment, on-boarding, and any subsequent employment-related processing. The following sections provide additional information under the EU/UK General Data Protection Regulation ("GDPR") and national data protection law.
Legal Basis, Data Protection Rights and Contact
We use a combination of legitimate interests, performance of a contract (including the intention to enter into a contract) and/or consent as the legal basis to process the personal information that you share with us as part of the recruitment process.
Candidates in the EEA may object to processing of their personal information, ask us to restrict processing of their personal information or request portability of their personal information. Where consent to the use of personal information has been obtained, it can be withdrawn at any time with future effect. Withdrawing consent will not affect (1) the lawfulness of any processing we conducted prior to the withdrawal, or (2) processing personal information under other legal basis. List of countries where UST affiliates operates can be accessed in annexure 1.
If you believe we are using your personal information in a way that is inconsistent with this Privacy Notice or for more information about your rights, contact your local data protection authority (contact details for data protection authorities in UK are available here and the European Economic Area are available here.)
Cross border data transfer
For personal information originating in the European Economic Area (EEA) or UK that is transferred to an UST entity outside the EEA or UK that does not have an “adequate level of protection” as determined by the European Commission or Secretary of State of UK, it does so based on permitted lawful measures, such as Intra Company Agreements which include EU standard contractual clauses/UK IDTA executed with applicable UST entities.
